Buildium Integration

Swiftlane integrates with Buildium, a property management system for real estate companies. This integration automatically syncs tenant and owner data from Buildium properties to Swiftlane, streamlining access management across your properties.

While the configuration settings mirror other property management system integrations, the initial connection process is unique. Instead of manual setup, BuildDM connects through their marketplace.

Buildium Configuration

Steps to Install Swiftlane through the Buildium Marketplace:

  • Navigate to the Buildium marketplace

  • Locate the Swiftlane integration box

  • Click the Install button

  • Review and allow the requested permissions

  • The integration will automatically connect to your Swiftlane account

Once installed, you'll see the connection data in your Swiftlane account, including the Buildium account ID. The integration will also appear in your Buildium account under Integrations as a currently installed integration.

Understanding Buildium Property Structure

Buildium organizes properties into two categories:

  • Rental properties

  • Associations

Each property or association contains multiple units, and each unit has tenants or owners assigned to it. Swiftlane syncs users based on their status, pulling only future and active tenants while excluding former tenants.

Adding Properties to Swiftlane

A single Swiftlane account can manage multiple Buildium properties and associations. To add a property:

  • Go to the Integrations section in Swiftlane

  • Click on the BuildDM block

  • Select the properties or associations you want to sync

  • Each connection can be configured independently

Configuring Each Connection

For each property or association you add, configure the following settings:

  • Default access group (all synced tenants will be added to this group)

  • Site selection for intercom entry

  • Unit number display preferences

  • Auto-sync toggle (enables periodic data pulling from Buildium)

  • Auto-invite toggle (sends automatic Swiftlane invites to new tenants)

These settings work the same as other PMS integrations in Swiftlane.

Syncing Tenant Data

Once configured, you can manually sync data by clicking the Sync button for each connection. The system displays sync logs so you can track the process.

After syncing, all active and future tenants appear in your Users list with:

  • BuildDM listed as the source

  • Unit numbers assigned

  • Property type indicated (rental or association)

You can filter users by source using the dropdown menu to view only BuildDM-synced users.

Data Handling and Updates

The integration handles common scenarios automatically:

  • Multiple users in a single unit are all synced

  • Single users across multiple units are properly assigned

  • Name, email, and phone number changes sync automatically

  • Duplicate phone numbers are assigned to only one user

Managing Multiple Swiftlane Accounts

In rare cases where a single Buildium account manages properties that have separate Swiftlane accounts, you can handle this through Command Center:

  • Navigate to Command Center

  • Select the property's Swiftlane account

  • Go to Integrations and enable BuildDM

  • Select credentials from the existing connected Buildium account

  • Choose the specific property to sync with this account

This setup requires assistance from your operations or support team but allows full flexibility in managing complex property structures.

Disconnecting the Integration

You can remove a BuildDM connection at any time from the Integrations section. Simply delete the connection to stop syncing data from that property or association.
