overview
The MDS (Multi Data Services) integration with Swiftlane allows property managers and admins to synchronize building access and intercom directory settings seamlessly. This guide provides details on configuring MDS integration, setting default access groups, and managing resident intercom entries.
Setting Up MDS Integration
Add a New MDS Connection
The Swiftlane Admin Dashboard provides an option in the Integration Section to configure an integration with MDS.
Click on “Add a New MDS Connection.”
Admins must fill in a form providing the Property Name and Description to identify the connection.
Upon submission, Swiftlane generates a unique email ID for the connection.
Example: pms+<account_name>@swiftlane.com
This mailbox is automatically monitored by Swiftlane for incoming MDS reports.
Configure Automated Report in MDS
Customers need to schedule a resident report in MDS to run 3-4 times per day.
The report should be generated in CSV format and sent via email to the Unique Email ID generated for the integration.
The CSV report should include the following fields:
Field Name | M = Mandatory /O = Optional | Comments |
HPersonID | M |
|
BuildingNumber | M |
|
UnitNo | M |
|
FirstName | M |
|
LastName | M |
|
EmailAddress | O | Either email or phone is required |
Categories | M |
|
CellPhone | O | Either email or phone is required |
Status Codes | O | Can be included but ignored for now. May be used later. |

1. Default Access Groups Mapping
Admins can define default access groups for residents based on their building number. These access groups must be created in Swiftlane before mapping.
Steps to Configure Default Access Groups:
Navigate to Access Groups in MDS integration settings.
Select a Building Number from the MDS system.
Map it to the corresponding Swiftlane Access Group.
Click on Add Mapping to save the configuration.
💡 Tip: Ensure that all required Swiftlane Access Groups are pre-configured before mapping to avoid errors.
2. General Resident Information & Naming Format
Admins can configure the naming format for resident records in Swiftlane. This affects how names appear in directories and intercom listings.
Available Naming Formats:
First Name + Last Name + Unit Number
First Name + Last Name (Recommended)
First Name Initial + Last Name
First Name + Last Name Initial
Unit + Last Name
Unit + First Name Initial + Last Name
💡 Tip: Choosing a clear and consistent naming format improves directory usability.
3. Intercom Directory Settings
Intercom directory entries will be automatically created based on building number mappings. Each resident’s intercom entry will be placed in the corresponding Swiftlane site mapped to their building.
Example:
If a resident is in Building 2A, their intercom entry will be created under Intercom - 2A in Swiftlane.
Managing Intercom Directory Settings:
Go to Intercom Directory Settings in MDS.
View or add buildings for integration.
Ensure correct mapping of building numbers to Swiftlane intercom sites.
💡 Tip: Double-check intercom settings to ensure smooth entry creation for new residents.
4. Email Notification for Residents
Upon successful integration, residents receive an automated email invitation to their Swiftlane account.
Steps to Verify Email Configuration:
Go to General Settings in MDS.
Ensure that the correct email address format is selected.
Residents should check their inbox (or spam folder) for activation emails.
Conclusion
MDS integration with Swiftlane streamlines access control and intercom directory management for multi-dwelling buildings. By correctly mapping access groups, choosing the right naming format, and ensuring intercom directory accuracy, admins can provide a seamless experience for residents.
